What a qualified meeting should mean for your SaaS team

A focused conversation. No obligation.

A calendar invite is an administrative event. A qualified meeting is a conversation that meets an agreed definition and gives your sales team a relevant next step.

Define the account criteria

Start with the companies your product is suited to help. Document the market, size, use case and other essential conditions. Include disqualifiers so a campaign cannot count an account that is clearly outside the scope.

Be clear about the role

Decide which decision-makers and stakeholders are appropriate for an initial conversation. A useful stakeholder is not always the final economic buyer, but their connection to the problem should be clear. Avoid treating every job title as equivalent.

Establish a relevant reason to meet

The prospect should have a problem, interest or use case connected to your product and agree to a genuine sales conversation. A meeting should not be counted simply because someone accepted an invitation without understanding its purpose.

Confirm attendance and handoff

Agree how cancellations, rescheduled meetings and no-shows are handled. Provide an account brief with the relevant context and qualification notes. Your sales team should know why the prospect is there and what to explore.

Review quality together

Compare the agreed criteria with the actual conversation. Record disqualification reasons and recurring objections. Update the campaign when the definition needs refinement, while keeping acceptance and billing rules clear in the written agreement.
